OneDrive for Business has few new features added recently. The added Features are – Download Files & Folders as .zips, View all Sites in OneDrive, Share, Upload and Rename Folders, New Shared with Me view and the new e-mail address for Sharing notifications from your OneDrive. These are very useful additions which can facilitate in adoption of OneDrive and SharePoint Online easier than before.
Most of these features have been rolled-out to First Release customers but more info, see your Message center in your Office 365 Tenant.
Let’s look at the Short description of these features below. Make sure you are a First Release customer if you want to test the following changes in your tenant.
Download Folders from OneDrive
With the new update in November 2016, now users will be able to download all files and folders as .zip file from SharePoint and OneDrive.
To do this, simply navigate to your Onedrive and select a Folder Properties -> Download.
It typically gives you a pop-up for downloading the folder (including all files in it) as a .zip file.
In your OneDrive for Business, you can now Share Folder with your Colleagues and external users (only if external sharing is enabled).
To Share, use the eclipse menu and then select the Share function.
Enter the e-mail of the user who you want to share this folder with.
Once Shared, the icon on the Shared folder changes a bit to reflect the sharing activity.
You would have noticed a new option to upload Folder in you OneDrive for Business. This option has been around for a while but I want to point out few important things about how it actually works.
Option can be found in regular New Item button.
Things to Note :
a) Uploading a Folder would upload all the documents within it as long as they adhere to terms and conditions of SharePoint’s upload restrictions.
b) Uploading a Folder with Sub-folders and files in Sub-folders would also upload only the flies NOT THE FOLDER Structure.
Renaming Files and Folders
You no longer have to edit properties to rename a file or folder in OneDrive for business.
Simply use the rename function from the eclipse menu.
Sharing e-mails sent with Service account
Sharing mails in SharePoint Online and OneDrive for Business will now be sent
FROM : firstname.lastname@example.org.
Currently, sharing mails (excluding external sharing invitations) are sent from sharing user’s e-mail address. Going forward, Microsoft will begin sending all sharing mails from email@example.com.
This makes the sharing experience consistent across both internal and external sharing mails and ensures that all mails that are templated and authored by SharePoint Online and OneDrive are sent from the service itself. The sharer will continue to be CC’d on all sharing mails.
This feature has begin to roll-out to First release customers beginning November 15, 2016.
Now View all Sites Listed in OneDrive
“Sites” in OneDrive is a new Office 365 feature, replacing Groups in OneDrive. In your OneDrive for Business towards the left, it will now display the Sites and Office 365 Groups that a you follow (Office 365 Groups’ sites I mean – you see each group now has a site).
The Sites that will be displayed are the Sites and Groups that you follow.
Shared With Me
“Shared with Me” is the new feature that lets you see the files others have shared with you from Office applications such as – Word and excel. You will need to sign into Office with a Microsoft account or a Work or school account to see documents shared with you. The Shared view will be available on Mac and iOS, and Shared with me will be on Android or Windows Desktop.
Only documents from OneDrive – Personal, OneDrive for Business, and SharePoint Online will be Shown in the Shared view.
